With leads becoming harder to find and more expensive to acquire, contractors are searching for new ways to grow their businesses. Market pressures driving contractors to seek new solutions
The data shows a clear trend: HVACR system replacement demand has dropped 17% since 2021, while the cost per marketed lead has risen 25% since 2022. Meanwhile, consumer expectations continue to climb, with four out of five homeowners expecting highly personalized service.
Traditional approaches—outbound call centers with less than 2.5% success rates, margin-eroding discounts, and costly digital marketing—are proving insufficient for many contractors trying to navigate these challenges.
AI agents work as 24/7 team members
Rather than just using chatbots, contractors can now deploy AI agents that act on their behalf, working in the background with specific missions. These agents can ingest company data to train themselves, personalize communications based on customer records, and hold complete conversations that lead to bookings—all without human intervention.
“Today, AI can act as an agent on your behalf,” Smith explained during the presentation. “You don’t have to ask it the exact right question. It can take that mission and deliver on it.”
Real results from actual text conversations
Smith shared several examples of successful AI interactions, including one where an agent named Rosie contacted a customer about aging equipment. The brief text exchange led to a service appointment that resulted in a $16,000 system replacement.
In another example, an agent responded to a customer at 12:11 AM with detailed information about their previous service history, creating enough credibility and trust to secure an appointment the next day.
Contractor experience confirms effectiveness
Chris Harrison, General Manager at Roland Black Heating and Cooling in Charlotte, North Carolina, shared his team’s experience implementing UpSmith’s AI agents. Initially hesitant about turning customer communications over to AI, Harrison found those concerns quickly disappeared when he saw the results.
“Sometimes these AI agents are better at answering questions or taking curveball questions than even some of our CSRs,” Harrison noted. He described a recent success where Mollie, the membership agent, secured a maintenance appointment with a customer they had been trying to reach through phone calls without success.
Integration with existing systems
The AI agents integrate with ServiceTitan, using available capacity on the booking board to offer appointment windows to customers. When appointments are confirmed, they’re submitted to the dispatch team for assignment to technicians.
This integration allows contractors to maintain control over their scheduling while automating the initial customer outreach and booking process.
Time savings lead to better resource allocation
One significant benefit Harrison highlighted was how AI agents free up CSR capacity. Instead of manually working through call lists, the AI can instantly contact dozens of customers and handle all the back-and-forth communication.
This time savings has allowed Roland Black to reassign some CSR responsibilities, with Harrison mentioning they’ve shifted one CSR to split their time between traditional duties and install coordination.
Implementation requires minimal effort
Smith emphasized that implementing the AI system is straightforward, requiring just a ServiceTitan API key, email, and phone number. After a one-hour onboarding call, the system can begin working, sometimes generating successful engagements within five minutes of activation.
The system handles compliance with texting regulations and maintains brand consistency, removing potential headaches for contractors.
Taking lead generation to the next level
As Smith summed up, the goal is to “stop playing defense and start winning more leads from customers we already have.” By mining existing customer data and using AI agents to personalize outreach, contractors can tap into the 90% of their database that isn’t currently part of a membership program or recurring service.
For contractors facing time constraints and rising marketing costs, AI agents represent a practical solution that works around the clock to generate leads while maintaining the company’s unique voice and values.
